VET&GO establishes this Privacy Policy to transparently inform Users of the website hosted at the following address: www.vetandgo.be, (hereinafter the "Site"), on how personal data is collected and processed by VET&GO.

The term "User" refers to any user, whether a natural or legal person, who visits or interacts in any way with the Site.

In this regard, VET&GO determines all technical, legal, and organizational means and purposes for processing Users' personal data. VET&GO commits to taking all necessary measures to ensure the processing of personal data complies with the law of July 30, 2018, on the protection of individuals concerning the processing of personal data (hereinafter referred to as "the Law") and the European Regulation of April 26, 2016, on the protection of individuals concerning the processing of personal data and the free movement of such data (hereinafter referred to as the "Regulation").

VET&GO is free to choose any natural or legal person to process the personal data of users at its request and on its behalf (hereinafter the "Processor"). Where appropriate, VET&GO commits to selecting a Processor offering sufficient guarantees regarding technical and organizational security measures for the processing of personal data, in accordance with the Law and the Regulation.

2. Processing of Personal Data

The use of the Site by Users may lead to the communication of personal data. The processing of this data by VET&GO, as the Data Controller, or by providers acting on behalf of VET&GO, will comply with the Law and the Regulation.

Personal data will be processed by VET&GO, in accordance with the purposes stated below, via:

- Use of cookies
- Contact form

3. Purpose of Personal Data Processing

In accordance with Article 13 of the Regulation, the purposes of personal data processing are communicated to the User and are as follows:

1. Improve the experience and navigation on the website
2. Contact via the contact form

4. Personal Data Likely to be Processed

The User consents, during the visit and use of the Site, that VET&GO collects and processes, according to the terms and principles described in this Privacy Policy, the following personal data:

  1. User information when filling out forms or contacting by phone, email, or other means, such as name, address, email address, and phone number.
  2. For each of the user's visits to the Site, the automatically collected information includes:
    1. IP address, browser type and model, time zone, operating system;
    2. All information about the pages the User has viewed on the Site, including the URL, browsing time, etc.

5. Consent

By accessing and using the Site, the User declares having freely, specifically, knowingly, and unambiguously agreed to the processing of their personal data. This consent covers the content of this Privacy Policy.

Consent is given by the positive action by which the User has checked the box proposing the Privacy Policy via hyperlink. This consent is a necessary condition to carry out certain operations on the Site or to allow the User to enter into a contractual relationship with VET&GO. Any contract binding VET&GO and a User regarding the services and goods offered on the Site is subject to the User's acceptance of the Privacy Policy.

The User consents to the Data Controller processing and collecting, according to the terms and principles contained in this Privacy Policy, their personal data they provide on the Site or in the services offered by VET&GO, for the purposes indicated above.

The User has the right to withdraw their consent at any time. Withdrawal of consent does not affect the lawfulness of processing based on consent before withdrawal.

6. Retention Period of User's Personal Data

In accordance with Article 13 §2 of the Regulation and the Law, the Data Controller only keeps personal data for the time reasonably necessary to achieve the purposes for which it is processed.

This period is in any case less than: 1 year

7. Data Recipients and Disclosure to Third Parties

Personal data may be transmitted to VET&GO employees, collaborators, subcontractors, or suppliers who offer adequate data security guarantees and who collaborate with VET&GO in marketing products or providing services. They act under the direct authority of VET&GO and are responsible for collecting, processing, or subcontracting this data.

In any case, the recipients of the data and those to whom it has been disclosed respect the content of this Privacy Policy. VET&GO ensures they process this data for the intended purposes only, in a discreet and secure manner.

If data is disclosed to third parties for direct marketing or prospecting purposes, the User will be informed beforehand so that they can express their consent to the use of this personal data.

8. User Rights

At any time, the User can exercise their rights by sending a message via email to the following address: david@vetandgo.be, or a letter by post, enclosing a copy of their ID card to the following address: Chaussée d’Alsemberg, 1149 – 1180 Uccle

a. Right of Access

In accordance with Article 15 of the Regulation, VET&GO guarantees the right of access to the User's personal data. The User has the right to obtain access to such personal data and the following information:

  • the purposes of the processing;
  • the categories of personal data concerned;
  • the recipients or categories of recipients to whom the personal data has been or will be disclosed, in particular, recipients established in third countries or international organizations;
  • where possible, the envisaged retention period of personal data or, if not possible, the criteria used to determine that period;
  • the existence of automated decision-making, including profiling, referred to in Article 22(1) and (4) of the Regulation, and, at least in such cases, meaningful information about the logic involved and the significance and expected consequences of such processing for the data subject.

The Data Controller may charge a reasonable fee based on administrative costs for any additional copy requested by the User.

If the User makes this request electronically (e.g., via email), the information is provided in a commonly used electronic form unless the User requests otherwise.

The copy of their data will be provided to the User no later than one month after receiving the request.

b. Right to Rectification

VET&GO guarantees the right to rectification and erasure of personal data to the user.

In accordance with Article 16 of the Regulation, incorrect, inaccurate, or irrelevant data can be corrected or erased at any time. The User first makes the necessary changes from their user account/other unless these cannot be made independently, in which case the request can be made to VET&GO.

In accordance with Article 19 of the Regulation, the Data Controller shall notify each recipient to whom the personal data has been disclosed of any rectification of the personal data unless such communication proves impossible or involves disproportionate effort. The Data Controller shall provide the data subject with information about these recipients if requested.

c. Right to Erasure

The User has the right to obtain the erasure of their personal data without undue delay in the situations listed in Article 17 of the Regulation.

Where the Data Controller has made the personal data public and is required to erase it under the previous paragraph, the Data Controller, taking into account the available technologies and implementation costs, shall take reasonable steps, including technical measures, to inform other data controllers processing such personal data that the data subject has requested the erasure by these controllers of any link to this personal data or any copy or reproduction thereof.

The two previous paragraphs do not apply to the extent that such processing is necessary:

  • for exercising the right of freedom of expression and information;
  • to comply with a legal obligation which requires processing by Union or Member State law to which the controller is subject or to perform a task carried out in the public interest or in the exercise of official authority vested in the controller;
  • for the establishment, exercise, or defense of legal claims.

In accordance with Article 19 of the Regulation, the Data Controller shall notify each recipient to whom the personal data has been disclosed of any erasure of personal data or restriction of processing unless such communication proves impossible or involves disproportionate effort. The Data Controller shall provide the data subject with information about these recipients if requested.

d. Right to Restriction of Processing

The User has the right to obtain the restriction of the processing of their personal data in the cases listed in Article 19 of the Regulation.

In accordance with Article 19 of the Regulation, the Data Controller shall notify each recipient to whom the personal data has been disclosed of any restriction of processing unless such communication proves impossible or involves disproportionate effort. The Data Controller shall provide the data subject with information about these recipients if requested.

e. Right to Data Portability

In accordance with Article 20 of the Regulation, Users have the right to receive from VET&GO the personal data concerning them in a structured, commonly used, and machine-readable format. Users have the right to transmit this data to another data controller without VET&GO hindering it in the cases provided for by the Regulation.

When the User exercises their right to data portability in accordance with the previous paragraph, they have the right to have the personal data transmitted directly from one controller to another, where technically feasible.

The exercise of the right to data portability is without prejudice to the right to erasure. This right does not apply to processing necessary for performing a task carried out in the public interest or in the exercise of official authority vested in the controller.

The right to data portability does not affect the rights and freedoms of third parties.

f. Right to Object and Automated Individual Decision-Making

The User has the right to object at any time to the processing of their personal data due to their particular situation, including the automation of data carried out by VET&GO. In accordance with Article 21 of the Regulation, VET&GO will no longer process personal data unless there are legitimate and compelling reasons for the processing that prevail over the User's interests, rights, and freedoms or for establishing, exercising, or defending legal claims.

Where personal data is processed for direct marketing purposes, the User has the right to object at any time to the processing of their personal data for such marketing purposes, including profiling to the extent that it is related to such marketing.

Where the data subject objects to processing for direct marketing purposes, personal data shall no longer be processed for such purposes.

g. Right to Lodge a Complaint

The User has the right to file a complaint regarding the processing of their personal data by VET&GO with the Data Protection Authority, which is competent for the Belgian territory. Further information can be found on the website: https://www.dataprotectionauthority.be.

9. Cookies

The Site uses cookies to distinguish Site Users. This allows providing Users with a better browsing experience and improving the Site and its content. The purposes and methods of cookies are contained in this article.

a. General Principles

A "Cookie" is a file temporarily or permanently placed on the User's hard drive when visiting the Website for a subsequent connection. The server recognizes the User's computer through cookies.

Cookies can also be installed by third parties with whom VET&GO collaborates.

Some cookies used by VET&GO are necessary for the proper functioning of the Site, while others improve the User experience.

The User can customize or disable cookies by configuring their browser.

By using the Website, the User expressly agrees to the management of cookies as described in this article.

b. Types of Cookies and Intended Purposes

Different types of cookies are used by VET&GO on the Site:

  • Technical cookies: these are necessary for the operation of the Website, allowing communication of entered data and facilitating User navigation;
  • Statistical and audience measurement cookies: these cookies allow recognizing the User and are used to count the number of Website Users over a certain period. Since they also indicate browsing behavior, they are an effective way to improve User navigation by displaying proposals and offers that may interest them. They also allow VET&GO to spot potential bugs on the Website and fix them.
  • Functional cookies: these cookies facilitate the use of the Website by remembering certain entered choices (e.g., username or language);
  • Tracking cookies: VET&GO uses tracking cookies through Google Analytics to measure User interaction with Site content and generate anonymous statistics. c. Cookie Retention Period

Cookies are retained for the time necessary to achieve the intended purpose. The cookies that may be stored on the User's hard drive and their retention period are as follows:

  • "ga": 1 year;
  • "_gid": during the session only;
  • "uetq": 13 months;
  • "ajs_user_traits": 1 year;
  • "facebook pixel": 180 days;
  • "popup-cookie": 30 days;

d. Cookie Management

If the User does not want the Website to place cookies on their hard drive, it is easy to manage or delete them by changing the browser settings. The browser setting also allows the User to receive a warning or notification when a website uses cookies and thus decide to accept or reject it.

If the User disables certain cookies, they accept that the Website may not function optimally. Some parts of the Website may therefore not be usable or may be only partially usable.

10. Limitation of Liability of the Data Controller

The website may contain links to other websites owned by third parties not related to VET&GO. The content of these websites and their compliance with the Law and the Regulation are not the responsibility of VET&GO.

The holder of parental authority must give their express consent for minors under 16 to disclose personal information or data on the website. VET&GO strongly advises those exercising parental authority over minors to promote responsible and secure use of the internet. The Data Controller cannot be held responsible for collecting and processing information and personal data from minors under 16 whose consent is not effectively covered by their legal parents or for incorrect data - in particular concerning age - entered by minors. Under no circumstances will personal data be processed by the Data Controller if the User specifies they are under 16 years old.

VET&GO is not responsible for the loss, corruption, or theft of personal data caused mainly by the presence of viruses or following cyberattacks.

11. Security

The Data Controller implements organizational and technical measures to ensure an appropriate level of security for processing and collecting data. These security measures depend on the implementation costs concerning the nature, context, and purposes of the processing of personal data.

The Data Controller uses standard encryption technologies in the IT sector when transferring or collecting data on the Site.

12. Modification of the Privacy Policy

VET&GO reserves the right to modify this Privacy Policy to comply with legal obligations in this area. The User is therefore invited to regularly consult the Privacy Policy to be aware of any changes and adjustments. Such modification will be displayed on the Site or sent by email for enforceability purposes.

13. Applicable Law and Competent Jurisdiction

This Privacy Policy is exclusively governed by Belgian law. Any dispute will be brought before the courts of the judicial district of the VET&GO head office.
